Primary Location: United Arab Emirates,Dubai Education: Bachelor's Degree Job Function: Administration Schedule: Full-time Shift: Day Job Employee Status: Regular Travel Time: No Job ID: 16069554 Description Position Objective The primary objective being to provide value added support during the day to day activities of our senior management, freeing up much valuable time to allow them to focus on the business Key Responsibilities Primary telephone and email coverage for the manager Complex diary management and organization of: internal and external meetings including client meetings, senior management functions and video/conference calls Regularly assist visiting international executives with scheduling, administration and on-the-ground logistics Managing inbox of Head and MDs: Screening emails, responding where appropriate Input client calls in the system (CRM) for VPs and above Input business cards in the banker’s contacts Arranging regular global and complex travel itineraries – flights, hotels, cars etc. Regular liaison with Senior Management across the bank Completion of expense claims and invoice payments Preparing documentation for meetings and conference calls, drafting letters and memos. Typing, filing, copying confidential documents Frequent personal administration and ad-hoc secretarial requests Qualifications Knowledge/Experience Ideally, an experienced Personal Assistant from a financial institution 2-3 years of PA experience for a senior manager as a minimum Experience in the Middle East is beneficial but not a must Skills Excellent technical knowledge of Microsoft Office applications Competencies Ability to handle sensitive and confidential information Multi-tasking Adaptability.
