Key Accountabilities: Extend Secretarial assistance and related support services to the Head of Vending Machine , facilitating efficient management of tasks support services encompass – convening and arranging periodic operational meetings, agenda, minutes, travel arrangements such as visas, hotels, flight tickets, airport transfers, and, Support services to other Managers. Co-ordinate & Liaise with the Sales Managers providing effective support on the day-to-day functioning and communications. Liaise with the Sales Managers to assess and attribute reasons for region-wise shortfall. Generate Sales & related Trade-Marketing reports as per the business requirements Compile domestic & exports Sales & Marketing reports attributing reasons for the variance. Pre-emptive flagging of shortfall / overspend is expected. Manage the Department Head’s appointments with appropriate reminders in order to ensure all meetings are scheduled in an orderly manner allowing the Heads to function effectively. Compile and prepare Monthly Management Executive summary, Business Plans and other presentations as required by GM for Executive Management reporting and for business evaluation. The reports comprises of Daily Sales Report, MTD & YTD report, Monthly Sales Report Analysis (regional, channel, category, SKU), Competitors Report, Production forecast-PPT, LSF Monthly, Operations Meeting Data’s & Presentation, Sales Target Master File, KPI, Top 10 Customers, Merchandiser Overtime Consolidation, Customer Performance Report, Letters (Proposal. Quotation, Tender, Agreements, Presentation, etc.), Promotion Calendar, Trade Support Review, TEMS Entry for Agreements-HORECA, Organization & Manpower Chart updates, Listing Updates, Customer, Site & Category Updates, Correspondence for Customer & Branches, Data’s, Customers, SKU monitoring & correction.
