Department Sales team is responsible for the overall selling of the Hotel and will conduct site inspections, meet with clients, present rate proposals and actively ensure that Hotel Sales Targets are met or exceeded. Job Description POSITION PURPOSE This position is part of the Sales Department and has responsibility for the Administrative support of the department. By application of strong organisational, communication and interpersonal skills this position is responsible for supporting the Sales team and the Director of Sales in administrative tasks. The ability to multi task and use your initiative are key skills required for this role. The position requires a high degree of self-motivation & ability to work unsupervised, prioritising tasks and manage workload under own initiative. A courteous & efficient telephone manner and interpersonal skills are required. MAIN RESPONSABILITIES To comply at all times with Starwood business processes and standards. Manage and ensure sufficient stock levels of all sales stationery Manage and ensure sufficient stock levels of all sales collateral and corporate gifts. Liaise with agencies in collaboration with the marketing department when required to order new templates and e-brochures and gifts. Set-up and maintain an effective filing system for the Sales Department, both hard copies and “on-line” in the relative drives as set up by the IT department. Preparation, distributing and filing of correspondence To manage the mail of the Sales, Group and Events and Reservations Teams (incoming and outgoing). Use approved purchasing system for ordering and payment of invoices Ensure and follow up that all invoices are paid Assist with travel arrangements for DOS, including flights, hotel accommodation, transfers and travel authority paperwork prior to travel Assist with submission of travel expenses as and when required Ensure all activity & site inspection forms are collected, distributed and filed Ensure VIP forms are completed and distributed as appropriate Create and process complimentary vouchers for accommodation and restaurants as requested. Manage controls around redemption, and liaise with prize winners regarding reservations and the relative Hotel Taking or redirect phone calls and taking messages as appropriate for the Sales Team & DOS Checking and updating the voice mails from the main line and DOS when out of office. Compile a selection of reports weekly, monthly and quarterly, including but not limited to: activity reports; segmentation reports, account production; Global Preferred and Set Preferred analysis, Hotelligence. Create, and manage local contracting templates for both the wholesale and local corporate account base in collaboration with the respective Sales associates. Manage and keep the Sales client data bases current Assist in creating and submitting Request to Bid (RTB) forms together with the Business Travel sales team. Process Request for Proposal (RFP) forms through the approved system (Lanyon) and manage said system on a daily basis ensuring that Sales team and Reservations are advised of any impending deadlines. Assist in corporate rate audits together with the Reservations department. Assist with the booking and managing of internal events. Distribute client communication and manage invitations RSVPs as and when required. Attend client functions as and when required in the capacity of welcome host. Create bespoke presentations as and when required as well as ensuring that standard templates are always to date. Manage and control the departments various ipads, ensuring hardware is updated regularly with new content. Minute taking where necessary. Assist others around the office when required Take care of deliveries from the storekeeper To keep up to date with Starwood information by regularly reviewing Starwood One intranet site The Sales Coordinator must demonstrate high energy levels and provide consistently high levels of team work. Customer Relationship Develop and maintain close working relationships with finance, reservations and & operational departments Proactively build relationships to understand events / groups with the groups and catering sales and event planning teams.
